The challenge

Every repair shop knows the call: "Hey, just checking — is my car ready?" Multiply it by a full bay schedule and it becomes a real cost. At DFW Auto Works, front-desk staff and technicians were spending 15+ hours a week answering status calls — time that came straight out of billable work. Calls that arrived while everyone was under a lift simply went to voicemail, and some of those callers didn't call back.

What we built

We deployed an AI phone assistant on the shop's existing phone number, integrated directly with their shop-management system:

  • Status lookups — the assistant answers "is my car ready?" from live repair-order data, by name and vehicle, without a human touching the phone.
  • Appointment scheduling — callers book, reschedule, or cancel against the shop's real calendar.
  • Automated SMS updates — customers get a text when their vehicle moves to ready-for-pickup, which prevents most status calls from ever happening.
  • Human handoff — anything the assistant can't resolve rings through to the desk with a transcript, so nobody repeats themselves.

The voice pipeline runs on telephony infrastructure integrated with a large-language-model back end; the shop-management integration is read-write, so bookings land in the same system the technicians already use. No new software for the staff to learn.

How it works

The architecture is deliberately boring: calls terminate on the telephony layer, the AI assistant handles intent and conversation, and a thin integration service brokers authenticated reads and writes against the shop-management system. SMS notifications ride the same integration, triggered by repair-order status changes.

The results

Within the first weeks of operation the shop recovered the 15 hours a week it had been spending on status calls, missed calls dropped by 80% (the assistant answers on the first ring, every time), and the shop's Google rating ticked up from 4.8 to 4.9 as "they actually answer the phone" started showing up in reviews. Total time from kickoff to a live assistant on the shop's main number: two weeks.
