The challenge
A new indoor pickleball facility needed everything at once: court booking, point of sale, membership management, youth-camp registration with digital waivers, a CRM for corporate events, and marketing automation. Quoted as separate SaaS subscriptions, that stack came to six platforms and more than $500 a month — before the doors opened, and with member data scattered across six vendors that don't talk to each other.
What we built
One unified operations platform, self-hosted on infrastructure the club controls:
- Court booking with dynamic pricing — peak/off-peak rates, member discounts, and recurring reservations in one calendar.
- Corporate-event CRM — a real pipeline for the highest-margin revenue line, from inquiry to invoice, instead of a spreadsheet.
- Camp registration with digital waivers — parents register and sign in one flow; rosters and waiver status are always current.
- Email marketing and automation — segmented campaigns driven by the same member database the front desk uses.
- Real-time analytics dashboards — court utilization, revenue by program, and membership trends on one screen.
Because every module shares one database, there are no sync jobs, no CSV exports between vendors, and no per-seat fees multiplying across six products.
How it works
Members, parents, and corporate clients hit one web platform. Behind it, booking, CRM, registration, and marketing are modules over a shared data layer, with dashboards reading from the same source of truth. The whole stack runs on managed, self-hosted infrastructure — the club owns its member data outright.
The results
The club opened with one system instead of six, at roughly 60% lower technology cost than the SaaS stack it priced out. Corporate event booking — inquiry to confirmed reservation — runs about 3× faster through the CRM pipeline than the manual back-and-forth it replaced. From first conversation to launch-ready platform took four weeks.
Where this pattern fits
This is systems integration as a founding decision: when a business is young enough to choose, one integrated platform beats six subscriptions on cost, data ownership, and staff sanity. The same pattern fits gyms, studios, ranges, and any facility whose "software stack" is really one business wearing six logins.
